BID INVITATION FOR HEARING AID DEVICES

The Gurkha Welfare Trust Nepal (GWT(N)), the field arm of Gurkha Welfare Trust UK, a registered charitable Trust working particularly for the Ex-Gurkha veterans and their wider communities across Nepal since 1976. The GWT(N) provides various Individual Aids and Community Aid Projects to its beneficiaries and their communities across the country through its 21 x Branch Offices (i.e. Area Welfare Centres) located at different parts of Nepal including Darjeeling (India).

The Gurkha Welfare Trust Nepal (GWTN) invites sealed bid from eligible, qualified and interested bidders for the supply and delivery of various Hearing Aid Devices and its Accessories as specified in Bid Form (Annex-A) required for its Specialist Outreach Free Medical Camps in FY~2026/27 to be delivered at GWT(N) Project Cell Office, Buddha Chowk, Pokhara-10, Kaski.

The contract may be awarded for three (3) years’ time, subject to the satisfactory performance of the vendor, which shall be reviewed and mutually negotiated on an annual basis.

-1. Bid Document Purchase/Registration: Bid Document Purchase/Registration: A complete set of Bid Documents may be purchased from the Procurement Cell, Gurkha Welfare Trust Nepal, British Gurkhas Pokhara, Kaski, Nepal (Tel: 061-567327, Mob: 9769494311, Email: Procurement@gwtnepal.org), upon submission of a written application accompanied by a copy of the Company/Firm Registration Certificate and payment of a non-refundable fee of NPR 3,000.00 (In words Nepalese Rupees Three Thousand only).

-2. The Bid Documents may be purchased up to 02 August 2026 at 1700 hrs. The bidding document fee may be paid directly to the HQ GWT(N) in cash or deposited into the following bank account:

-3. Bid Submission: Completed Sealed Bids (with proper Wax Seals e. Laha Chhap) hardcopy must be submitted at Procurement Cell, Gurkha Welfare Trust Nepal, British Gurkhas Pokhara, Tallo Dip-16, Pokhara, Kaski on or before 03 August 2026 (1600hrs). Sealed Bids must be accompanied by the attested copies of the following documents.

-a. Completed Bid Form (Pricing Sheet) with authorized signature and company seal.

– b. Original copy of Self Declaration Letter

-c. Original copy of Power of Attorney

-d. Attested copy of valid Firm/Company Registration Certificate

-e. Attested copy of VAT/PAN Registration Certificate (if applicable)

-f. Attested copy of Tax Clearance Certificates of last three (3) fiscal years

-g. Attested copy of audited annual statement account for the last two (2) fiscal years

-h. Manufacturer’s Authorization Letter (If applicable)

-i. Detailed Company Profile along with Supply Experience Certificate for the similar nature of goods and services of the last three (3) years.

-j. Original copy of Bid Security (Bid Bond/Bank Guarantee) equivalent not to less than 2.5% of Total Quoted Bid Amount (Inclusive of VAT) with the validity of 120 days (Note: No Cash deposit for Bid Securities into GWT(N) bank account will be accepted. A successful bidder must submit 5% Performance Bank Guarantee at the time of Supply Agreement)

-4. Incomplete bids shall be considered non-responsive and will be rejected. Bid documents received after the specified deadline will not be accepted. All other terms and conditions shall be governed by the respective Bid Form (BoQ). Sealed bids will be opened by the Internal Procurement Board at the Headquarters of GWT(N), Pokhara. Final selection of the successful bidder(s) will be made only after a comprehensive evaluation of all bids received. GWT(N) shall not be bound to accept the lowest-priced bid and reserves the right to select the bid(s) that best meet its requirements, taking into consideration factors such as the quality of goods offered, compliance with specifications, and the bidder’s past performance and supply track record.

-5. Due to the nature of the procurement, bids submitted by Joint Venture (JV) shall not be accepted.

-6. GWT(N) reserves the right to accept or reject any bid either wholly or partly, or to cancel the bidding process at any time without assigning any reason whatsoever and without incurring any liability to the effected bidder(s).
